1. Recording players who unsubscribe:
A. You should receive an email from MailChimp for each list from which anyone unsubscribed on the previous day.
B. No action is required for permanent lists. These include BestInClass, Clubs, and GoldMine. It also includes any list used by the District Director (or any other official) for his/her mailings.
C. If someone unsubscribes from a committee list, someone should find out why the individual did so. The committee lists include BOD, ExComm, ExComm & Comm, and WeissComm.
D. For all the lists used to publicize D25 events, the value of the "oktoemail" field on each record on the players table corresponding to the individulas(s) who unsubscribed must be set to "N."
1) If three or fewer people have unsubscribed, their email addresses and names will be listed on the email.
a) On the remote system call up the player's record. This process is described here.
b) Make sure that the checkbox for the "OK?" field is unchecked. Then click on the "Record" button.
c) Repeat for any others who have unsubscribed.
2) If more than three have unsubscribed for a list.
a) Sign on to the Audiences section of Mailchimp, and select the appropriate audience.
b) Click on the "Export Audience" button.
c) After a few minutes you will receive an email that indicates that the list export is completed. Open the email and click on the "Download List Data" button. This will start a window in your default web browser. A screen similar to the following will appear.
d) Make sure that the save option is selected. Then click on the "OK" button.
e) In Firefox you must now click on the icon for downloads at the top of the screen and then click on the folders icon to open the folder that contains the file. The procedure may be different for other browsers.
f) Select the file that was downloaded. It will probably be at the top of the list. Cut or copy it.
g) Paste it into the Bridge/District25/Database/Upload folder.
h) Open the zip file to unpackage the download. It contains one csv file for each status of records: subscribed, unsubscribed, and cleaned. Cut the file for the unsubscribed records and paste it into the folder named Bridge/District25/Database/Upload. You can then delete the zip file and change the name of the file that you just pasted to something that identifies it.
i) Open the file named Unsub.csv in your spreadsheet program. If it contains records that have already been processed, delete them. If the records have not yet been processed, do not delete them. If you are uncertain, do not delete them. It does no harm to process records more than once.
j) Open the file that you just renamed in your spreadsheet program. Select the records in the first two columns (Email Address and First Name) starting with the second line. Do not select the column headings. Press Ctrl C.
k) Paste the selected records into the first column of the first blank line in Unsub.csv. If you like, you can record someting in the third column to indicate the file from which the records were gleaned.
l) Repeat steps a) through k) for all of the lists that have players who have unsubscribed. In step i) do NOT delete the existing data. When all the records for players who have unsubscribed have been added, save the Unsub.csv file.
m) In your browser start the File Manager on the remote server. Select the Unsub.csv file that you created above and copy it to the "Upload" folder within the "public-html' folder. This process is described here.
n) In your browser on the remote server go to the D25 Database Menu and backup the file named "players." This process is described here.
o) After the backup file has been created, select the option to 'Process a File of Unsubscribes."
f) On screen #BDB041A just click on the "Process File" button. The program will display a small report listing the number of email addresses in which the "OK?" field was set to N and how many were already unsubscribed.
